How to connect TakeCare to ChatGPT
At TakeCare we use ChatGPT at chatgpt.com, so we connected TakeCare to it. Now we can ask "what jobs are on this week?" in the same chat.
This guide shows you how. It covers adding the connector in a web browser, signing in on TakeCare's own page, and turning TakeCare on in a new chat.
This works on a free ChatGPT account. Use chatgpt.com in a web browser. The ChatGPT desktop app's Add MCP server screen is a separate developer setup, and connectors added there don't show up in web chat.
The connector uses MCP (Model Context Protocol). Using Claude instead? See How to connect TakeCare to Claude. Using Grok at grok.com instead? See How to connect TakeCare to Grok (grok.com). Using Grok Bot instead? See How to connect TakeCare to Grok Bot.
What you need before you start
- A TakeCare login. Any provider login can read your data.
- ChatGPT on the web. A free account is enough. Open chatgpt.com in a browser, not the desktop app.
- The right TakeCare plan for saves. Saves need Professional, Team or an active free trial. On Free you can connect and read, but saves are refused.
- The right role. Owners and coordinators can save. Workers and Billing only get less (see "Who can do what").
- The "Allow assistant saves" switch. Saves stay off until you turn it on.
You never paste your TakeCare password or a key into ChatGPT. You sign in on TakeCare's own page.
Add TakeCare on chatgpt.com
Use the address that matches your business. The steps below use the provider address.
Use the website. The ChatGPT desktop app's Add MCP server screen is a separate developer setup, and connectors added there don't show up in web chat.
| You are | Connector address |
|---|---|
| An NDIS or aged care provider, or a sole-trader support worker | https://itakecare.com.au/mcp/provider |
| A support coordinator | https://itakecare.com.au/mcp/coordinator |
| A family member, nominee, or interested party viewing someone's schedule | https://itakecare.com.au/mcp/guardian |
- Open chatgpt.com in a web browser. Go to Settings, then under Integrations choose Plugins.

- Choose Add (top right), then Add custom MCP server.

- Fill in the form. For Icon (optional), upload the TakeCare icon. Download the TakeCare icon (PNG, 256 x 256), then choose the + and pick that file. For Name, type TakeCare. For Description (optional), paste: TakeCare by iTakeCare: NDIS and aged care shifts, clients and invoicing. Under Connection, keep Server URL and paste
https://itakecare.com.au/mcp/provider. Set Authentication to OAuth. Tick I understand and want to continue, then choose Create as a plugin.

- Choose Connect TakeCare.

- Sign in on TakeCare's own page. Your password stays on TakeCare's page.

- You'll see Connect ChatGPT, with a list of what ChatGPT can do. Check it, then choose Approve. Choose Deny if you don't want ChatGPT using your account.

- ChatGPT then shows its own prompt, Allow ChatGPT to use TakeCare?, with Allow once, Always allow, and Deny. That prompt is shown before saving changes. Choose Allow once or Always allow.
- In a new chat, turn TakeCare on. Ask "What jobs are on this week?"
If you are a support coordinator, paste https://itakecare.com.au/mcp/coordinator as the Server URL instead. If you are a family member, nominee, or interested party, paste https://itakecare.com.au/mcp/guardian. Add each address as its own custom MCP server.
The family address shows the people whose schedule you can already view, and the upcoming shifts with times and the worker's name. Active schedule can change those shifts after a preview. View only cannot. It does not show worker phone numbers or notes.
Pick your business, and turn on saves if you want them
If you belong to more than one business, tell ChatGPT which one to use. Use a provider business on the provider address, and a coordinator business on the coordinator address.
Reading works without this. To let ChatGPT save:
- In TakeCare, go to Settings, then My coordinator details.
- Find the Assistant saves card.
- Turn on Allow assistant saves for this business.
Providers who don't have the My coordinator details page find the same switch on the business profile, in the Assistant saves card. You can turn it off any time.
What you can ask
ChatGPT gets the same TakeCare tools as any connected assistant: open jobs, your roster, invoices, Ready to Invoice and your schedule, plus draft invoices, notes, tasks and invoice emails (with the right TakeCare plan and the switch on). The full list is in the Claude guide.
Try:
- "What jobs are on this week?"
- "What's ready to invoice for this month?"
- "Make a draft invoice for Sample Client's shift on Saturday."
Tell ChatGPT your time zone so "today" matches what you see in TakeCare.
How the safety steps work
Nothing changes in TakeCare until you've seen a preview and confirmed it.
- Preview first. ChatGPT shows exactly what would be saved.
- Confirm that preview. Typing "yes" on its own doesn't save anything.
- Check it in TakeCare. A new invoice stays a draft and isn't emailed.
Emailing an invoice takes two confirms. First the draft, then an email preview showing To, CC, BCC, the subject and the attached PDF. Nothing goes out until you confirm that too. Copies follow your business email preferences and the client. Your worker is only copied if your preferences already copy them.
Who can do what
- Owner or coordinator: reads and all saves (with the right TakeCare plan and the switch on).
- Worker: only their assigned jobs and clients, with no rates. They can clock their own shifts in and out, and save notes if Notes access is on.
- Billing only: reads clients, invoices and templates. No saves, no Jobs.
Use the website
This guide is for ChatGPT at chatgpt.com in a web browser. The desktop app's Add MCP server screen is a separate developer setup. Connectors added there don't show up in web chat.
What about Tess?
Tess, the assistant inside TakeCare, can also help without leaving the app. On Professional, Team or a trial, Tess can preview an action and save it after you confirm. On Free, Tess does look-ups only. Tess doesn't send invoice emails; send those from TakeCare, or with your connected assistant after its email preview. Tess can send an unpaid reminder once you press Send reminder.
Use Tess when you're in TakeCare. Use ChatGPT when you want TakeCare alongside your other work.
Troubleshooting
| Problem | What to try |
|---|---|
| You added TakeCare, but it never shows in web chat | The desktop app's Add MCP server screen is a separate developer setup. Connectors added there don't show up in web chat. Open chatgpt.com and add it under Settings > Integrations > Plugins. |
| TakeCare is missing in a new chat | Turn TakeCare on in that chat. |
| Sign-in never starts | Check the address is exactly https://itakecare.com.au/mcp/provider, /mcp/coordinator, or /mcp/guardian. |
| "This approval link is incomplete" | Start sign-in again from ChatGPT. |
| "This business cannot be used" | Ask it to list your businesses and pick the right type. |
| It says Professional or Team is required | Check the plan on that provider business. |
| The preview worked but the save was refused | Turn on Allow assistant saves for this business, then preview and save again. |
