Guide
How to connect TakeCare to Claude (and other AI assistants)
At TakeCare we asked Claude to help set up our connector. It took a few minutes. Now we can type "what's ready to invoice this week?" and get a straight answer from our own TakeCare data.
This guide shows you how to do the same. It covers what the assistant can do once it's connected, the safety steps that stop it saving anything you haven't checked, and which TakeCare plan you need.
The connector uses MCP (Model Context Protocol), an open standard many AI assistants support. Claude is the example here, but the same TakeCare address works with other assistants that support MCP connectors, such as ChatGPT, Grok and Cursor.
What you need before you start
- A TakeCare login. For reading your data, any provider login works.
- The right plan for saves. If you want the assistant to save things (a client, a job, a draft invoice, a note, or to email an invoice), the provider business needs to be on Professional or Team, or still in its free trial. On Free you can still connect and get read answers, but saves are refused.
- The right role. Owners and coordinators on the business can make saves. Workers and Billing only get less (see "Who can do what" below).
- The "Allow assistant saves" switch. Saves stay off until an owner or coordinator turns on Allow assistant saves for this business. Coordinators find that switch under Settings, then My coordinator details. Providers who don't have that page find it on the business profile, in the Assistant saves card.
- An AI assistant that supports MCP connectors, such as Claude.
You never paste your TakeCare password or any key into the assistant. You sign in on TakeCare's own page.
Step 1: Add TakeCare as a connector in Claude
Use the address that matches your business:
| You are | Connector address |
|---|---|
| An NDIS or aged care provider, or a sole-trader support worker | https://itakecare.com.au/mcp/provider |
| A support coordinator | https://itakecare.com.au/mcp/coordinator |
In Claude (on the web or the desktop app):
- Open Customize > Connectors. This is where Claude lists the tools it's connected to.

- Choose Add, then Add custom connector. A short form opens.
- In the name field, type a name you'll recognise, for example "TakeCare".
- In the URL field, paste the TakeCare address from the table above, exactly as written (starting with
https://). Choose Continue. On the next screen, keep the settings Claude fills in: Sign in now, Register automatically, and Streamable HTTP. Then choose Add.

- Choose Connect next to TakeCare to start sign-in. Claude opens TakeCare's sign-in page (Step 2).
On Claude's Team and Enterprise plans, an Owner adds the connector for the organisation first. Each person then connects with their own TakeCare login. Claude's Free plan allows one custom connector. (Those are Claude's rules, not TakeCare's.)
Step 2: Sign in and approve
- TakeCare opens its normal sign-in page. Sign in the way you usually do.
- You'll see a page titled Connect an assistant. The card heading is Connect plus the assistant's name.
- Check the assistant's name and the line Sends you back to.
- Choose Approve to let it in, or Deny if you don't want that assistant using your account.
The provider address lists provider work: clients, jobs, invoices, and the schedule. The coordinator address lists coordinator work. Your tools for that address are available after you approve.
Check it worked. After you choose Approve, TakeCare sends you back to Claude. In Connectors, TakeCare's Status column shows a tick. To test it, start a new chat and ask: "List my TakeCare businesses." If Claude replies with your business names, you're connected. If it says it can't reach TakeCare, see Troubleshooting below.

Step 3: Pick your business
If you belong to more than one business, ask the assistant to list your businesses and tell it which one to use. On the provider address, use a provider business. On the coordinator address, use a coordinator business.
Step 4: Turn on assistant saves (only if you want saves)
Reading works without this step. To let the assistant save:
- In TakeCare, open Settings.
- If you have My coordinator details (the page heading is Coordinator details), open that and find the Assistant saves card.
- If you don't have that page, open the business profile and find the Assistant saves card there.
- Turn on Allow assistant saves for this business.
You can turn the switch off any time. Help answers aren't affected. Previews and reads still work while the switch is off.
What you can ask once it's connected
Reading (no changes made)
On a provider business, you can ask the assistant to list or look up:
- open jobs, and workers you can assign
- your client roster, plan managers, support coordinators and customers
- provider invoices (draft, sent, paid, unpaid or archived), one invoice's lines, and invoice templates
- the last invoice for a client
- what's Ready to Invoice
- your schedule, including shifts To wrap up, and a shift brief
- notes (labels only, not the note text) and tasks due today
- the NDIS support catalogue and your Service Templates
Bank details, email addresses and invoice PDFs are left out of these answers.
Tip: tell it your time zone. That keeps "today" and shift dates matching what you see in TakeCare.
Examples to try:
- "What's ready to invoice for this month?"
- "What shifts do I have next week?"
- "When did I last invoice Jane, and what was the total?"
Saving (Professional, Team or trial, switch on)
With saves allowed, an owner or coordinator can ask the assistant to preview and then save things like:
- a new client, or an edit to a client on the roster
- a new internal job, an edit to a job, or a copy of a job
- a draft invoice, from a shift or from a template, or an edit to a draft's quantity or transport kilometres
- a shift note, a task, a plan manager, a support coordinator or a customer
- marking a shift complete, rescheduling or cancelling one date, or archiving a finished job
- marking a Ready to Invoice shift as invoiced, linking it to an existing invoice, or hiding or restoring it
- emailing a provider invoice you've already checked, or sending a short unpaid reminder for a sent invoice
- marking a sent invoice paid, or unpaid again
- clocking a shift in or out
Some things stay in TakeCare on purpose. For example, Auto-Create & Email... is still a button you press in TakeCare. The assistant can't fill in bank details, and it can't make a note Guardian-visible.
Coordinators get a similar set on the coordinator address: listing jobs, clients and providers, previewing and saving rates, adding a client or a scheduled job, logging coordination records, draft invoices and more. Coordinator saves need the same switch on, and only an owner or coordinator on that business can use them.
How the safety steps work
Nothing changes in TakeCare until you've seen a preview and confirmed it.
- Preview first. You ask for something, for example "make a draft invoice for Jane's shift on Saturday". The assistant shows a preview of exactly what would be saved. Nothing is saved yet.
- Confirm the same preview. If it's right, ask the assistant to save that same preview. Just typing "yes" on its own doesn't save anything.
- Check it in TakeCare. Open Invoices (or Clients, Jobs, Notes) and check the new row. A new invoice stays a draft. It isn't emailed.
Emailing an invoice: two confirms
Sending an invoice has two separate checkpoints:
- Draft preview. The draft is previewed and saved, then you check it in TakeCare.
- Email preview. When you ask the assistant to email it, you get an email preview first. It shows the same choices Email Invoice opens with in TakeCare: To, CC, BCC, Also BCC me, the contact line, the shareable link, the reform-readiness link, the subject, and that the PDF will be attached. Nothing goes out until you confirm those same choices.
Who gets copied comes from your business email preferences and the client on the invoice. The assistant doesn't add people. For example, your worker is only copied if your email preferences already copy them. You don't paste the plan manager's address in yourself either. It comes from the client.
When the email goes, the draft is marked sent.
Who can do what
- Owner or coordinator: reads and all the saves above (with the right plan and the switch on).
- Worker: sees only jobs and clients assigned or granted to them, with no rates. Workers can clock their own assigned shift in and out. They can save a note only if Notes is already on for them for that client under Team access. They can't add clients, jobs or invoices.
- Billing only: can read clients, invoices and templates, but can't use saves and can't see Jobs.
Other assistants
Any assistant that supports MCP connectors with sign-in should work the same way: add the TakeCare address, sign in on TakeCare, choose Approve. TakeCare's help docs name Cursor, Claude, ChatGPT and Grok.
What about Tess?
Tess, the assistant inside TakeCare, can also help with provider actions without leaving the app. On Professional, Team or a trial, Tess can preview an action and save it after you confirm. On Free, Tess does look-ups only. Tess doesn't send the invoice email for you; you send that from TakeCare, or with your connected assistant after its email preview. Tess can send an unpaid reminder once you press Send reminder.
Use Tess when you're already in TakeCare. Use a connected assistant like Claude when you want TakeCare alongside your other work.
Troubleshooting
| Problem | What to try |
|---|---|
| The assistant can't find sign-in | Check you used https://itakecare.com.au/mcp/provider (or /mcp/coordinator), not any other address. |
| "This approval link is incomplete" | Start sign-in again from the assistant. |
| You end up back on sign-in after approving | Sign in on the same TakeCare site, then choose Approve again. |
| "This business cannot be used" | Ask it to list your businesses and pick a provider business (or a coordinator business on the coordinator address). |
| It says Professional or Team is required | Check the plan on that provider business. A coordinator subscription on another business doesn't unlock provider saves. |
| The preview worked but the save was refused | Turn on Allow assistant saves for this business under My coordinator details, or on the business profile if you don't have that page. Then ask for the same preview and save again. |
| The email preview looked right but nothing was sent | That was the preview. Confirm the choices it showed, then ask it to send those same choices. |
FAQ
Does Claude see my TakeCare password?
No. You sign in on TakeCare's page. Your password stays there.
Can it send an invoice without me checking?
No. Every save needs a preview you've confirmed. Emailing an invoice needs its own email preview and confirm as well.
Does it work on the Free plan?
You can connect, but provider saves need Professional, Team or an active trial.
Can I switch saves off later?
Yes. Turn off Allow assistant saves for this business. Coordinators use My coordinator details. Providers who don't have that page use the business profile.
Can it change coordinator rates from a provider login?
No. Rate changes need a coordinator business.
