Guide
Set up TakeCare with your AI assistant
At TakeCare we set up a new business the same way we run the week: clients, jobs, then a draft invoice. An assistant can walk you through that in about 10 minutes.
This guide is for ChatGPT, Claude, and Grok. It covers signing in, turning on saves, and the first prompt. The same steps work for a provider business and a coordinator business. Use the connector that matches the work you do.
What you need before you start
- A TakeCare login. Sign up on the TakeCare website first, then sign in.
- Allow assistant saves. Saves stay off until you turn them on. Coordinators use Settings, then My coordinator details. Providers who do not have that page use the business profile, in the Assistant saves card.
- A connected assistant. Add TakeCare in ChatGPT, Claude, or Grok.
- The right plan for saves. Saves need Professional, Team, or an active free trial. On Free you can connect and look things up. Saves are refused.
You never paste your TakeCare password into the assistant. You sign in on TakeCare's own page.
Paste this to start
Open a new chat with TakeCare connected, and paste:
Help me set up TakeCare. Check where I'm up to, then walk me through the next step. Show me a preview before you save anything.
If TakeCare still looks new, the assistant should offer to walk you through setup. That takes about 10 minutes. If you would rather not, say so and carry on with whatever you came to do.
What it can set up
- Business details. The name, ABN, and whether you are registered for GST.
- Clients. One at a time, or a pasted list. Up to 20 names in one go. Use first names or initials.
- The first job. A one-off visit, or a weekly visit on one weekday. Other repeat patterns stay in the browser.
- Preferences. Shift alerts, and how invoices are numbered and saved.
- A first draft invoice. From a completed shift. It stays a draft until you send it yourself.
What stays in the browser
The assistant does not set these. Do them in TakeCare:
- Bank details on the business profile.
- Your logo.
- NDIS numbers. Add them on the client when you are in TakeCare.
Keep names short in the chat
Use first names or initials when you paste a list. Do not paste NDIS numbers or health details into the chat. You can add the NDIS number later on the client in TakeCare.
Every save shows a preview first
Nothing is saved until you confirm the preview. A typed yes does not save. Ask the assistant to show the preview again if you want to change something.
Pick up where you left off
Ask where am I up to. The assistant checks your business and continues from the next step. You do not have to start again.
